Operating terms for private guiding with Tartan Compass Tours.
These Terms & Conditions act as a framework for the services provided by Tartan Compass Tours Limited. Note that specific terms may be issued as part of a formal quote or booking confirmation.
1. Trading Identity & Contact
Tartan Compass Tours is the trading name of Tartan Compass Tours Limited, company number SC827932. You can contact us at info@tartan-compass.tours.
2. Enquiries and Booking Confirmation
Submitting an enquiry does not create a confirmed booking. A booking is confirmed only when Tartan Compass Tours confirms the agreed date, service, price, payment requirement and booking acceptance in writing.
3. Prices, Quotations and Payment
Prices are quoted individually based on the agreed service, date, duration, location, practical requirements and any additional arrangements.
Payment is normally made by bank transfer or online card payment via a secure link (e.g. Square). Payment instructions will be provided with the booking confirmation or invoice. Clients are responsible for any fees charged by their own bank, card provider or payment provider.
4. What is Included and Excluded
Unless stated in writing, quoted guide fees cover guiding services and planning time only. They do not include admission charges, meals, refreshments, parking, ferry costs, public transport, taxis, private transport, accommodation or other third-party charges.
5. Changes by You
If you ask to change the agreed plan after booking, Ross will try to help where reasonable. Changes may depend on availability, timings, third-party arrangements and revised costs. Material changes may require a revised quote.
6. Cancellation and Late Arrival
If you need to cancel a confirmed booking, a cancellation policy (confirmed at the time of booking) will apply. If you are late, Ross will try to adapt the day, but the finish time, route or content may need to change to protect timings, bookings or transport arrangements. Non-attendance without notice is normally treated as a cancellation.
7. Weather and Walking-Led Days
Outdoor and walking-led days are shaped around weather, daylight, ground conditions and guest comfort. Ross may adapt, shorten, reroute or reschedule outdoor elements where he judges this necessary or sensible for safety or comfort.
8. Guest Information, Comfort and Equipment
You are responsible for giving accurate information about walking comfort, mobility, access needs and any practical matters that may affect the day. Ross uses this to shape a suitable plan. For walking-led or outdoor days, you must bring suitable footwear, clothing and personal items. Ross may adapt the day if clothing or equipment is not suitable for the conditions.
9. Transport and Third-Party Arrangements
Where a day involves vehicle support, the transport arrangements, responsibilities, costs and assumptions will be confirmed in writing before booking. Ross may lease a vehicle by agreement, driver-guide where appropriate, or use trusted transport partners.
10. Younger Guests and Family Groups
Younger guests must normally be accompanied by a responsible adult. Please tell Ross the ages of younger guests so the day can be shaped appropriately.
11. Responsible Behaviour and Readiness to Participate
Guests are expected to behave respectfully towards people, places and communities visited. Ross may refuse to start, alter or end a tour if he reasonably believes a guest is not fit to participate safely or respectfully, or if behaviour creates serious disruption.
12. Insurance
Tourist guides, including Associates working with Tartan Compass Tours, are covered by Public Liability insurance and Hire & Reward insurance for Driver Guides.
13. Photography, Privacy and Personal Information
Tartan Compass Tours will not publish identifiable guest images, names, testimonials or private itinerary details without permission. Personal information provided in connection with an enquiry or booking will be handled in line with our Privacy Policy.
14. Complaints
If something is not right, please tell Ross as soon as possible so he has a chance to address it during the tour. Formal concerns can be sent to info@tartan-compass.tours, and we aim to respond within 20 working days.
15. Governing Law
These Terms are governed by the law of Scotland, subject to any mandatory consumer rights that apply.
